Workload Summary
Workspace Check-ins & Check-outs: A Manager's Perspective

Workspace check-ins & check-outs are one of the core mechanisms that managers in im✻PACT use to track the activity of their staff over some time. It allows the managers to gain a clear view of what their staff have been doing. This article would guide you in the usage of im✻PACT to track the daily check-ins & check-outs of your staff.

 

This article will cover the following items:

 

What are Check-ins & Check-outs?

Check-in is the indicator of the start of a user's working day. A user checking in is synonymous with a user clocking into work. In a single check-in session, the users would mark off their deliverables and verify any deliverables that are pending verification from them.

 

Check-out is the indicator of the end of a user's working day. It is synonymous with a user clocking out of work. Each check-out is directly linked to a single check-in entry and together, they form a single check-in session. Managers can view their staff's activity for each check-in session.

 

Check-in Policies

In im✻PACT, we have 2 types of check-in policies:

  1. Auto Check-in: Check-in sessions are managed automatically without the user's having to check in explicitly. We recommend this check-in policy if the activities defined under your Workspace and created and worked on on an ad-hoc basis, without a preset daily working time. Under this check-in policy, users can mark off their items any time of day and it would be counted in the currently active check-in session.
  2. Manual Check-in: Check-in & Check-out are done explicitly by the users. We recommend this check-in policy if the members in your Workspace only work during a pre-set time (e.g. from 9 AM - 6 PM). Under this policy, users can only mark off their items while they are checked in. 

 

Location Policies

In im✻PACT, we have 2 types of location policies:

  1. Coarse Location: This gives you an approximate location of the locality where a check-in or check-out was performed.
  2. Precise Location: This gives the exact location where the check-in or check-out was performed.

 

Configuring Check-in & Location Policies

To change the check-in and/or location policy of your Workspace, you can follow the instructions below:

  1. Navigate to the im✻PACT Landing Screen. At the top, tap on the Workspace Selector.



  2. This will bring up your list of Workspaces. For the Workspace where you wish to modify the Check-in Policy, tap on the Workspace's Menu button.



  3. From the Workspace's menu, tap on the Workspace Settings.



  4. You will be routed to the Workspace Settings Screen. Here, you can modify the various settings associated with your Workspace. To change the location policy to Precise, turn the Detailed Location toggle on. Toggle it off to change the location policy to Coarse. To proceed with changing your Workspace's check-in policy, tap on the Check-in Policy button.



  5. You'll be prompted for policy change confirmation. Tap on the Yes, Proceed button.



  6. This action would switch your Check-in Policy. If it was AUTO, it will be changed to MANUAL and vice versa, 
  7. Once you're satisfied with your changes, tap on the Done button, and confirm your changes by tapping Save & Exit in the confirmation menu.



  8. Congratulations, you have successfully changed your Check-in and Location policy. Please note that in order to maintain transparency to the other Workspace users, the following email will be sent out to all the Workspace members informing them that the Workspace's Check-in and Location Policy has been updated.


Viewing Check-in History

Workspace administrators can view their workspace member's Check-in history anytime. You can follow the instructions below to view how to do so:

  1. Navigate to the im✻PACT Landing Screen. At the top, tap on the Members tile.



  2. From the list of Members in your Workspace, tap on the Member for whom you'd like to view the check-in history. In this case, we'll check Li Ying's history.



  3. You'll be routed to your selected Member's profile. In the Workload Monthly tab, you can view the Member's workload calendar. You can tap on on a particular date to view their Activities for that day. To view their check-in history, tap on the Check-In History tile.



  4. Under the tab, you'd be able to see all Member's check-in history. 



  5. The following is a breakdown of a standard Check-in history tile.


 Date & Status: This is the day and date of the check-in. The colour of the tile would be Green if this session is currently active (Member hasn't checked out). Else, the tile would be Grey coloured.
 Duration: This gives you the approximate duration of this check-in session.
 Check-in & Check-out Time: This gives you the exact time that the Member performed check-in & check-out.
 Location: This gives you the location where the check-in was performed. This location would be Precise or Coarse based on the location policy.
 Items Summary: This progress bar gives you the total number of items that the Member worked on.
 Workspace: The workspace under which this check-in was performed.
 Map Location: This button would be visible if your Workspace location policy is Precise. Tap on this button to view the exact location as shown below.




  1. Tap on a particular check-in tile to bring up the Activities that were worked on during that session. You can expand a particular Activity by tapping the small arrow icon to view the Activity Log.



  2. You can also tap on the Activity to see a full summary.
