Managing your assignments with im✻PACT

Managing your assignments is perhaps the most crucial component in the everyday usage of im✻PACT. Therefore it is very important that you periodically check your workload summary, upcoming Activities, and your notifications. This article will outline some ways you can manage your assignments as well as some best practices that we highly recommend our users follow.

Why is managing your assignments important?

With im✻PACT, we aim to promote a culture where the users do their due diligence regarding their deliverables to ensure smooth operations in a Workspace. It will allow the users to have an objective trend of positive productivity that they can showcase to prove their merits. It allows the managers to be able to view their staffers' activity history, progress, and quality of work over a period of time. We find that if the users are aware of the nature of the upcoming assignments, they can prepare for it ahead of time mentally, and by finding the required resources. This will allow the users to escape any surprises, and to keep a good momentum.

 

Weekly Workload Summary

  1. Navigate to your Landing screen where the Workload summary will be shown as a panel of 4 tiles that shows your Activities in different statuses as shown below. We highly recommend that users keep an eye on these numbers and clear them off as soon as possible.

 

 View ToggleThis toggle would switch your view between ME and EVERYONE. 

      • ME View: The workload summary, Job and Team tiles will reflect the count of items that are directly assigned to you in the selected Workspaces. In addition, you will see the workload calendar showing you a summary of your Activities for the current week.
      • EVERYONE View: The workload summary, Job and Team tiles will reflect the count of all items in the selected Workspaces where you are an administrator or owner.

Workload Summary: This shows you the counts of your Activities in different statuses. The statuses are defined as follows:

      • NEW: These are all the Activities that have been assigned to you where either the Activity timeline is not yet defined, or you haven't started working on them. 
      • STARTED: These are all the Activities that you have already started working on.
      • DUE SOON: These are all the activities whose expected end time is near. We recommend that you try to clear these off before they move to the LATE category.
      • LATE: These are all the activities which have lapsed the expected end time but haven't yet been completed. We recommend that you clear these off as soon as possible.

 Workload Calendar: This gives you an overview of your Activities for the current week. Each dot on a date represents a single Activity, while the colour of the dot represents the Activity's status. You can swipe the calendar to the left or right to view the previous week's Activities or the upcoming week's Activities respectively. Tapping on a particular date would show you the list of Activities planned for that date as shown below:


 

Monthly Workload Summary

You can also view your monthly workload summary from your profile overview. To continue, follow the given instructions:

  1. Navigate to your Landing screen and tap on your Profile Card.



  2. You'll be routed to the Profile Overview screen. From here, tap on the Workload Monthly tile. From here you can see the workload for the entire month. Same as the weekly calendar, each dot on a date represents a single Activity, while the colour of the dot represents the Activity's status. You can swipe the calendar to the left or right to view the previous month's Activities or the upcoming month's Activities respectively. Tapping on a particular date would show you the list of Activities planned for that date.



Performance Metrics

Knowing your strengths and weaknesses is crucial to becoming your better version. To better yourself is a fundamental principle in im✻PACT. Therefore we highly recommend the users to periodically check their Performance Metrics. You can access your metrics as follows:

  1. On your Profile Overview screen (same as the Workload Monthly as shown above), tap on the Performance Metrics tile.



  2. The Performance Metrics gives you a summary over the selected period of the percentages of tasks that fall in each quadrant. The quadrants are defined as follows:
    • Upper-Right Corner: This is the high-quality and high-timeliness quadrant. Users should aim to maximise the percentage in this quadrant. They can do so by ensuring that all their Activities are done at a high-quality level (without needing any rewords) and completed promptly.
    • Upper-Left Corner: This is the high-quality and low-timeliness quadrant. If you find this percentage to be high, we recommend that you take extra care for the timeliness of your Activities.
    • Lower-Right Corner: This is the low-quality and high-timeliness quadrant. A high number in this quadrant indicates that you might be producing sub-par work in order to complete your Activities before the deadlines. We encourage users to find ways to increase the quality of work without sacrificing timeliness.
    • Lower-Left Corner: This is the low-quality and low-timeliness quadrant. Users should aim to minimise the percentage in this quadrant at all costs. If you find this quadrant percentage to be significant, you might be struggling with the workload that you're assigned. We suggest that you diagnose and address the reasons why your work is sub-par and untimely. 

 

Notifications

Notifications are a great way to stay informed about the events surrounding you and your Activities. You would normally receive notifications on events such as Activity schedule, advancement, kick-start etc. You can access notifications with the following instructions:

  1. Tap on the Notifications icon in the bottom navigation bar. The number on the bell is the current number of unread notifications that you have.



  2. You can mark a notification as "read" by tapping on it. You can also tap the Read All button to mark all the notifications as read as shown below.



  3. After tapping the Read All button, your notifications will now all be marked as read.



  4. Having all your notifications read would allow you to have a better focus on any new notifications that might come in.

 

Link Sharing

Sharing links for your Jobs and Activities is a great way to communicate the assignments to staffers. im✻PACT supports dynamic links for Jobs and Activities that can be shared over any messaging app or even email. The following instructions will guide you in how to share your Jobs and Activities.

  1. Share a Job
    1. To get started, first navigate to the Job landing page of the Job you would like to share. On this screen, tap the Share button on the app bar as shown.



    2. This would bring up your phone's sharing menu. From here, you can send the link to anyone over apps such as WhatsApp, Discord, Skype, Instant Messaging and even email.

       

  2. Share an Activity
    1. To share an Activity, navigate to the Activity you would like to share. On this screen, tap the Share button on the app bar as shown.



    2. Same as the Job sharing, this would bring up your phone's sharing menu. From here, you can send the link to your contacts on any of your preferred apps.

 

Activity Comments

Activity comments are another great way to discuss a particular activity within the im✻PACT app. The users can leave comments on the Activities to supply some further information about their Activities, make inquiries, or just general conversation in the context of an Activity. To access an Activity's comments, follow the instructions given below.

  1. Navigate to the Activity you would like to view the comments of. On this screen, tap the Comments button as shown.



  2. This would launch the Activity Comments screen. Here you can view the comments made by other Members. You can also leave your comments here by tapping on the Add a Comment bar as shown.



  3. Furthermore, you can tap and hold on your comment to Copy, Edit, or Delete it.
